Choose what the report should answer
Begin with the stakeholder’s decision. An executive needs the finding, business implication and next action. A content team needs passages, source pages and briefs. A technical team needs URLs and reproducible checks. Product intelligence focuses on portrayal, comparisons and useful product questions. Complete evidence is appropriate when the recipient needs the underlying record.
Confirm the selected business, question set, date range, market and sources before exporting. Save a named view for recurring use. A saved view is a configuration for consistent reporting; it does not turn incomparable observations into a trend.
Select the report audience
- Open Export or Reports from the current workspace. Choose the retained search or relevant report scope.
- Select Executive, SEO & content, Technical, Product intelligence or Complete evidence according to the recipient.
- Review the summary and the evidence appendix options. Keep the original answers and source references available when a conclusion depends on them.
- Apply the desired supported report branding and check the preview. Saved branding should not rewrite historical evidence.
- Generate the document, open the actual exported file and check charts, labels, page breaks, source links and the original scope.
Match the file to its next use
Use PDF for a stable readout, HTML for an inspectable browser report, Word for an editable document, PowerPoint for a stakeholder presentation and Markdown for text-based workflows. Choose the available CSV, TSV, JSON, NDJSON, spreadsheet or complete archive export when the recipient needs rows or retained data rather than a designed narrative.
Inspect a real exported file before sending it to a client. Check that the denominator, missing values, long answers and cited URLs survived. A downloaded file is not proof of a readable report. Opening or exporting saved evidence does not require another search credit.
Share with deliberate access
Use the report’s supported read-only share controls when a link is more useful than an attachment. Choose expiry and access settings appropriate to the recipient. Verify the link in its recipient-facing state and revoke it when access should end. A public or shareable link can disclose the retained questions and answers; review the contents before distributing it.
When setting up report delivery, check recipients, timezone, date and the chosen saved report. Scheduled delivery of retained evidence differs from collecting new answers on a schedule. New searches consume credits according to the selected question, market/language and run; sending an existing saved report does not create new evidence.
Keep the account and library understandable
Use Credit usage and Search status to reconcile completed searches, reserved credits and failures. Monthly subscription credits do not roll over. Separate non-expiring balances remain distinct, and there are no automatic overage charges. If the allowance is exhausted, saved reports remain readable and exportable.
Billing provides payment-method, invoice and cancellation controls. The current portal does not provide self-service mid-cycle plan switching. Check the displayed renewal and cancellation dates before making a change. Archive and restore saved searches when reorganising the library; treat Trash and permanent deletion separately.
End with next month’s plan
Close each stakeholder report with the next question set, measurement frequency, assigned work and search budget. If a result is unchanged, report that plainly. Recurring value comes from consistent evidence and completed decisions, not from manufacturing an improvement every month.
Your next step
Export one report for a specific recipient, open it and verify the evidence and next action.
